Everything you need to work with Klip.

Getting started

How do I add a client?
Open the “Clients” area and choose “+ New client”. Give it a name and optionally a color. For invoices to EU businesses you can also store a billing address, VAT ID and email. With Klip Pro you can import clients straight from your Contacts.
How do I create a project?
Switch to “Projects” and choose “+ New project”. Pick the client, set a name and an hourly rate. Optionally add a deadline, shown as a due-date chip, plus an hours or euro budget.
What are tasks?
Tasks are individual activities within a project. Every time entry belongs to a task, so you can distinguish activities within a project and bill them separately later.
Setting language and currency
Under “Settings → General” you pick the app language (German or English) independently of your system language, plus the currency symbol from around 40 options – including “no currency” if you would rather see plain numbers.
Create items from the menu (macOS)
“File → New” creates a client, project, task or time entry straight from the menu bar, without switching to the matching area first.

Time tracking

Start and stop the timer
Tap the play button on a project or task. Tapping again ends tracking. On iOS you can also swipe a project card to the right.
Menu-bar timer (macOS)
Klip shows the running timer in the menu bar. From there you can start and stop tracking and add a quick entry without opening the main window.
Widgets with a start/stop button
On the home screen (iOS) and the desktop (macOS) the Klip widget shows today’s total with a daily-goal ring. The button in the widget starts and stops the timer directly – no need to open the app.
Live Activity (iPhone)
While the timer runs you see it in the Dynamic Island and on the lock screen, including the elapsed time of the current project.
Automatic stop on inactivity (macOS)
If you don’t work on your Mac for a while, Klip asks and back-dates the end to your last activity. You decide in the dialog whether the break is discarded or counted. The interval (5, 10 or 15 minutes) is set in Settings.
Edit time entries afterwards
Open a task to see all individual entries with a daily chart. With Klip Pro you can correct start and end time, add a note, or create entries manually.
Turn calendar events into tasks
With Klip Pro you can turn upcoming events into tasks: “From calendar” in the tasks area shows your events with search and multi-select. Klip only reads your calendar – nothing is written or deleted.

Budgets & expenses

Set a budget for a project
In the project open “Budget” and enable an hours budget, a euro budget or both. A live preview shows your current usage as a percentage right away.
When does Klip warn me?
From 80 % usage the bar turns amber and the project appears as an alert in the cockpit. From 100 % it turns red – together with the amount or hours you are over.
Track expenses
With Klip Pro you record expenses per project – licenses, materials, subcontractors – on iOS in the project detail view, on macOS through a project’s expenses view.
Attach and scan a PDF receipt
Attach a PDF to an expense: Klip reads the text directly on your device and suggests amount, date and merchant. The suggestions are just a pre-fill and can be corrected at any time. No receipt is ever sent to a server.
Bill mileage
Choose “Mileage” as the expense type and enter the distance – the amount is distance × rate. The default rate (€0.50/km) is stored in Settings.
Put expenses on the invoice
Every expense has a “Bill with invoice” switch. Only expenses marked this way are added to the invoice as reimbursable costs – all others stay pure cost tracking.

Billing

Bill a project
Use a project’s billing action to create an invoice with line items from the tracked tasks. The preview is always visible; with Klip Pro you export it as PDF or CSV and mark the project as billed.
Configure invoice numbers
In Settings you set the prefix, next number and number of digits. A live preview shows the format of the next invoice.
Sender details
Store your name, address and VAT rate in Settings. These appear automatically on every invoice.
Customize the invoice title
The title on the sheet defaults to “INVOICE” or “Rechnung”, depending on the app language. You can override it freely in Settings.
Append your terms as a PDF
Pick a PDF in Settings – your terms and conditions, for instance – and Klip appends it to every invoice it generates.
Note and payment terms
In the billing dialog you can add a note that appears above the payment terms on the invoice. The payment window defaults to 14 days.
Printing on A4
Invoices include crop marks so the printout sits correctly on A4. The PDF export always stays to scale, regardless of screen size.
Mark as paid
In the billing dialog and in the cockpit you mark an invoice as paid. The status feeds into the billing donuts in the reports area and into the cockpit metrics.

Cockpit

What does the cockpit show?
Every invoice in one place, with four metrics: open amount, overdue amount (with a counter), paid in the last 30 days (including the year-to-date total) and the number of budget alerts.
When is an invoice overdue?
Klip calculates the due date automatically from the billing date plus your payment window (14 days by default). Past that date and still unpaid, the invoice is flagged red.
Filtering and marking as paid
Use the “All”, “Open”, “Overdue” and “Paid” filters to narrow the list. You mark an invoice as paid right in the list – on iOS with a swipe as well. The step can be undone at any time.

Handing off to accounting

Which apps are supported?
GrandTotal (locally via the clipboard) plus sevdesk, Lexware Office, Billomat and FreshBooks through their APIs. Handing off is a Klip Pro feature.
How do I set up a provider?
Under “Settings → Invoice export” you pick the provider and enter your credentials. They are stored in your device keychain, not in the Klip database.
What is transmitted?
Only the data of the invoice you hand off: line items, amounts, client and invoice number. Before your first cloud export you have to consent explicitly – without that consent nothing leaves your device.
How does GrandTotal work?
GrandTotal runs locally on your Mac. Klip puts the invoice data on the clipboard and you paste it there. Nothing travels over the internet.

Reports

Billing status (donuts)
The three rings show the totals for open, billed and paid amounts – so you can see at a glance how much revenue is still outstanding.
Weekly overview
The bar chart shows your hours per weekday for the current week. Today is highlighted.
Export your data
“Export” outputs your time as CSV or – with Klip Pro – as PDF. Free covers the “all time” period as CSV, Pro adds week and month plus the PDF format.
Limit the export to certain projects
With Klip Pro you can filter the export down to individual projects instead of always exporting everything.

Data & backup

Export a backup
In Settings under “Data & backup”, “Export backup” creates a JSON file with all your clients, projects, tasks, time entries and expenses. If the database is empty, Klip refuses the export – so no worthless backups are created.
Restore a backup
“Restore backup” loads a previously exported JSON file; Klip then shows how many entries were imported. Careful: your current data is replaced. Older backups from earlier Klip versions are upgraded to the current format automatically.
Automatic backup (Pro)
With Klip Pro you pick a destination folder once – in iCloud Drive, Google Drive or Dropbox, for instance. Klip then backs up there automatically, without you having to think about it.
Turning iCloud sync on and off
Klip syncs through your personal iCloud account across iPhone, iPad and Mac. The “iCloud sync” switch is in Settings and on by default; restart the app once after switching. Your data lives in your private iCloud database, not on a Klip server.
What if the database won’t open?
If Klip cannot open the database, you get a notice instead of a crash, with two options: restore a backup or reset the database. Create a backup first if you can.
Reset to factory settings
This deletes all data and settings irreversibly. Always create a backup beforehand.

Updates & version

How do I get updates?
The Mac version checks for updates automatically and installs them on request. App Store builds for iPhone, iPad and Mac update through the App Store as usual.
Which version am I running?
Under “Settings → About Klip” you see the installed version, the legal texts and the in-app help.
Which OS version do I need?
Klip requires iOS 26, iPadOS 26 or macOS 26.
